Introduction to Your First Expense Sheet
To create your first Excel expense sheet, open a blank workbook and type your column headers in the first row starting at cell A1. Organizing daily expenses in a spreadsheet helps you track where your money goes and practice essential formulas.
Prerequisites
You will need a computer with Microsoft Excel or a compatible spreadsheet program installed. No prior spreadsheet experience is required.
Step-by-Step Guide to Data Entry and Formatting
- Open a blank spreadsheet: Launch Excel and select a Blank Workbook.
- Enter headers: Click cell A1 and type Date. In B1 type Item, in C1 type Category, and in D1 type Amount.
- Input the dataset: Fill in the rows below your headers exactly as shown in the example table.
Illustrative Worked Example
Set up your worksheet with the following fictional data starting at cell A1:
- Row 1 (Headers): Date | Item | Category | Amount
- Row 2: 01 November 2026 | Notebook | Study | 120
- Row 3: 02 November 2026 | Bus fare | Travel | 80
- Row 4: 03 November 2026 | Printing | Study | 50
- Row 5: 04 November 2026 | Lunch | Food | 100
- Row 6: 05 November 2026 | Pen | Study | 30
Next, format the values in column D (from D2 to D6) as currency by selecting the cells and choosing the currency format option from your toolbar.
Applying Basic Formulas
Now, let us calculate totals and averages using basic Excel formulas:
- Total Expenses: Click cell D7 and type the formula =SUM(D2:D6). Expected result: 380.
- Average Expense: Click cell D8 and type the formula =AVERAGE(D2:D6). Expected result: 76.
- Category Total (Study): Click cell D9 and type the formula =SUMIF(C2:C6, "Study", D2:D6). Expected result: 200 (summing Notebook 120, Printing 50, and Pen 30).
What Happens When Data Changes?
If the bus fare in cell D3 changes from 80 to 100, Excel automatically updates your dependent formulas. The total in cell D7 updates to 400, and the average in cell D8 updates to 80.
Common Mistakes and Fixes
- Numbers Stored as Text: If your SUM formula returns 0 or ignores a number, check if the number is aligned to the left. Left-aligned numbers are usually treated as text. Re-type the number without spaces or apostrophes.
- Incorrect Cell Ranges: Typing =SUM(D2:D5) instead of =SUM(D2:D6) will leave out your last row of data. Always double-check your row numbers before pressing Enter.

Practice Task
Add a new row at Row 7 with the following details: 06 November 2026 | Tea | Food | 20. Update your formulas to include this new row.
Answer Key for Practice Task
- New Total: 420
- New Average (across 6 items): 70
- New Study Total: 200 (unchanged)
